This Privacy Policy describes how Clarovus LLC collects, uses, stores, and protects information in connection with the Clarovus financial dashboard and reporting service. By using the Service, you agree to the practices described in this Privacy Policy.

1. Information We Collect

1.1 Account and Contact Information

When you sign up for the Service we collect:

  • Your name and business name
  • Email address and phone number
  • Business address
  • Payment information processed through Stripe — Clarovus does not store credit card numbers directly; all payment data is handled by Stripe Inc. under their privacy policy
  • Industry type and accounting software used

1.2 Financial Data From Connected Platforms

To provide the Service, Clarovus accesses financial data from your connected accounting platforms including QuickBooks Online, Microsoft Excel, and Google Sheets. This data includes:

  • Profit and loss data including revenue, expenses, and net income
  • Balance sheet data including assets, liabilities, and equity
  • Cash flow data
  • Accounts receivable aging data including customer invoice information and outstanding balances
  • Accounts payable aging data including vendor bill information
  • Invoice and transaction records
  • Project and job cost data if applicable

This financial data is accessed solely through authorized API connections using credentials you provide. Clarovus accesses this data in read-only mode and does not modify, delete, or write to your accounting platform.

1.3 Usage and Technical Data

We may collect technical information including dashboard access logs, pipeline run logs, IP addresses, browser information, and communications you send to Clarovus.

2. How We Use Your Information

2.1 Providing the Service

  • Connecting to your accounting platforms and retrieving financial data
  • Building, maintaining, and refreshing your financial dashboards
  • Generating monthly plain-English financial summary emails
  • Providing customer support and responding to inquiries
  • Processing payments and managing your subscription

2.2 Improving the Service

  • Analyzing anonymized aggregated financial data to develop industry benchmarks that cannot be attributed to individual clients
  • Identifying and fixing technical errors
  • Developing new features based on feedback and usage patterns

2.3 Communications

  • Sending your monthly financial summary email
  • Notifying you of service updates or changes to this Privacy Policy
  • Responding to support requests

3. How We Share Your Information

Clarovus does not sell, rent, or trade your personal information or financial data to any third party for marketing or advertising purposes. We share information only in the following limited circumstances:

3.1 Service Infrastructure Providers

  • Cloud dashboard infrastructure — for dashboard rendering and data storage, processed under applicable platform privacy policies
  • Supabase Inc. — database infrastructure for persistent data storage, processed under Supabase's privacy policy
  • GitHub Inc. — automated pipeline execution, processed under GitHub's privacy policy
  • Stripe Inc. — payment processing; Clarovus does not store payment card numbers
  • Intuit Inc. — QuickBooks Online API access, governed by Intuit's developer platform terms

3.2 Legal Requirements

We may disclose information if required by law, subpoena, or court order, or if necessary to protect the rights or property of Clarovus or prevent harm to persons.

3.3 Business Transfers

In the event of a merger, acquisition, or asset sale, your information may be transferred to the successor entity. We will notify you of any such transfer.

4. Data Retention

Upon termination of your subscription:

  • All Client Data will be deleted from Clarovus systems within thirty days of the termination date
  • We will provide written confirmation of data deletion upon request
  • We will remove our access to your Connected Platform accounts within five business days
  • Anonymized aggregate data may be retained as part of industry benchmarking databases
  • Business records including payment history may be retained for up to seven years as required for tax and legal compliance

5. Data Security

We implement appropriate technical and organizational security measures including:

  • Row-level security and client isolation ensuring each client's data is accessible only to that client
  • Encrypted storage of API credentials and authentication tokens
  • Access controls limiting data access to personnel directly involved in providing the Service
  • Secure HTTPS transmission for all data in transit

No security system is impenetrable. In the event of a security breach affecting your data we will notify you promptly and take reasonable steps to mitigate the impact.

5.1 Dashboard Access Links

Your dashboard is delivered via a shared access link that is not independently password-protected. You are responsible for keeping your dashboard access link confidential. Contact us immediately at maxwell@clarovus.com if you believe your link has been compromised.

6. Your Rights and Choices

6.1 Access and Correction

You may request access to or correction of personal information we hold by contacting maxwell@clarovus.com.

6.2 Data Deletion

You may request deletion of your personal information and Client Data by terminating your subscription and requesting deletion in writing. We will confirm deletion within thirty days.

6.3 Data Portability

Upon request we can provide a copy of your processed financial data in CSV or Excel format before account termination. Your underlying data always remains in your QuickBooks or Connected Platform account which you own and control independently.

6.4 Opting Out of Communications

You may opt out of non-essential communications by contacting maxwell@clarovus.com. Service-related communications including monthly summary emails, service alerts, and payment notifications are part of the core Service and cannot be opted out of while your subscription is active.

7. Third-Party Platforms

The Service integrates with QuickBooks Online and other platforms. Your use of these platforms is governed by their respective privacy policies. Clarovus is not responsible for the privacy practices of third-party platforms. When you authorize Clarovus to access your QuickBooks Online account you are also subject to Intuit's privacy policy.

8. Children's Privacy

The Service is designed for business owners and professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from individuals under 18.

9. Governing Law

This Privacy Policy is governed by the laws of the State of Wisconsin. If you are located outside the United States, your information will be transferred to, stored, and processed in the United States.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy at clarovus.com and sending notice to your email address on file. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
